How to run an office Secret Santa without the grumbling

The worst kind of office Secret Santa ends with the finance manager unwrapping a novelty mug, in front of everyone, from the colleague she has been arguing with all year. Someone drew their own name and swapped in secret, the budget was ignored, and half the team forgot the date. All of that is avoidable. Most of it comes down to sorting the rules before anyone goes shopping.

Set the budget and the rules before anyone shops

Pick a budget that nobody has to think twice about. £10 to £20 covers most offices; go higher and the intern is quietly stressed. Make it voluntary. People who are pushed into it buy a scented candle at the last minute and resent the whole thing.

Give everyone at least two weeks between the draw and the exchange. Be specific about what is appropriate. "Nothing you would not give your manager's mother" works as a rule of thumb.

Decide now whether the givers stay secret at the end or get revealed. Both work. What does not work is half the room announcing themselves while the other half wanted to stay anonymous.

Do not assume everyone celebrates Christmas

Call it an end-of-year exchange and leave Christmas out of the name. Skip religious themes, skip alcohol, and skip anything that would be a bit much from a colleague: perfume, underwear, a framed photo.

Allergies and diets catch people out every year. A box of Belgian pralines seems safe until it lands with the colleague who is vegan. A good notebook, a pair of wool socks, a decent thermos or a voucher for a bookshop work for almost anyone, which is why they turn up so often. There is no shame in that.

Skip the hat and draw online

The hat is charming for about thirty seconds, until Tom pulls out his own name and everyone has to go again. If you draw names online instead, nobody can draw themselves and the names go out by email. If someone drops out, the organiser swaps in a new name and email address on the settings page, so there is no redoing the whole thing on a Friday afternoon.

Ask each person to create a wishlist with three or four ideas at different prices. Whoever draws them then has something to go on. Two or three specific items plus a general hint ("I like spicy things") leaves room for the giver to choose something of their own.

The small things that go wrong

Send more than one reminder. A message the week of the exchange and another the day before. People forget, especially if you set it up in early November. Check the date against travel and holiday plans too; a draw with three of the twelve people abroad is a flat afternoon.

Keep two spare gifts in your desk drawer. Every year someone turns up with nothing, and a spare pair of socks in wrapping paper saves a bad moment for them and for the colleague who would otherwise go home with nothing.

Keep the money out of it

The exchange is there to make people like each other a bit more. Nobody remembers the £20 gift. They remember the guessing game before the reveal, the colleague who wrapped a stapler in eleven layers, and the gift that referenced the printer that has been broken since March. A running office joke beats an expensive gift every time.

Where the stress usually creeps in is the admin: the draw, the deadline, chasing the wishlists. If you organise a Secret Santa with the draw and the lists handled for you, the only thing left to plan is the biscuits.
